A summer Saturday is a budget decision before it is a date in the diary. For a Stellenbosch wedding, the season and day of the week are two of the first things to price: would you rather keep that Saturday, move to a weekday, or choose a winter celebration with more room in the budget?

One estate's published hire calendar puts venue hire at R24,900 from Sunday to Friday and R30,300 on Saturdays and public holidays for 1 September 2026 to 30 April 2027. Novia calculates a R5,400 difference between those rates. The guests and menu have not changed. Only the day has.

That makes an alternative date worth asking about before you start removing people from the invitation list. But the saving needs to survive the rest of the quote. Hire is one part of hosting a wedding, and moving the date should still leave you with a celebration you want.

Price the date before you commit to it

I would ask your favourite venue for the same wedding on two dates: your preferred Saturday and a weekday you could realistically choose. Keep the guest count, meal, ceremony space and finishing time identical. If winter also appeals, request a third version for a specific winter date.

The same estate's calendar lists Saturday hire at R24,900 for May to August 2026. That earlier winter tariff shows why season deserves its own comparison, but it is not a quote for winter 2027. Ask for the exact month and year you intend to book. A rate ending in April tells you nothing definite about an October wedding.

Friday falls into the lower hire category in the first example. Check how each venue defines its days before assuming the same applies elsewhere. Public holidays also deserve a separate look, especially if you are hoping to give travelling guests a longer weekend.

Then consider what the change asks of your guests. A weekday may mean taking leave. An extra night away may absorb part of the saving for you or your family. If most guests live nearby and can manage a Friday afternoon ceremony, the switch may be easy. If people are flying in for a short visit, Saturday may be worth keeping.

For winter, make the indoor room the deciding factor on your viewing. Walk through where the ceremony, drinks and dinner would happen if nobody went outside. A warm reception with a generous meal can be exactly the wedding you want. Choose it because that version of the day appeals to you, with any saving confirmed in the full quote.

Give the hire fee a complete wedding around it

The lower hire figure above leaves most of your celebration unpriced. You still need the meal, drinks, service, flowers, music and the practical work of getting the room ready. It is a useful line in a budget, not a realistic total for a Stellenbosch wedding.

Novia's 2026 planning estimate starts at around R200,000 for the core of a South African wedding with about 100 guests, and celebrations can run into the millions. For a beautiful Winelands venue, our planning allowance is at least around R250,000. These are different levels of celebration: the starting budget for a whole wedding does not automatically stretch to an exclusive estate setting. Drinks, attire, rings, the honeymoon and practical extras also need room in your overall plan.

If your total budget is close to the starting figure, settle what matters most before arranging viewings. Perhaps you want a long dinner with everyone you love, but do not need exclusive use of an estate for the weekend. That decision is more useful than finding a low hire fee and hoping everything else will fit around it.

Ask about food early. The estate behind the hire example requires its in-house catering, so the venue and meal need to be considered together. Wherever catering choices are restricted, get the menu and service costs before deciding that the space is affordable.

A package should cover the day you actually want

A package can bring welcome simplicity, provided its inclusions match your plans. Read it as the sequence of your wedding: the ceremony, drinks afterwards, dinner, dancing and the journey home or upstairs to bed.

Ceremony space may still need chairs and setup. Bar facilities may mean the bar itself, with drinks charged separately. A room full of tables does not necessarily include linen, place settings or the people serving dinner. Ask what is included at each stage and add the missing parts before comparing the package with hire alone.

Accommodation is worth particular attention. If close family would otherwise need rooms nearby, an overnight package may solve a real problem. If your guests live locally, compulsory rooms or extra nights could take money away from the evening you wanted. Decide who would stay and who would pay before treating those rooms as a saving.

Keep photography, flowers, music and your other personal choices in the budget unless the package explicitly covers the brief you have in mind. A package becomes useful when you can see both what it settles and what remains to organise.

Let the guest count test your shortlist

Once you have a workable date and spending limit, browse venues by location and guest count. Start with the people you would genuinely invite. A wedding for 80 and one for 120 need different amounts of food and drink, and may need very different reception layouts.

For a larger Stellenbosch celebration, Alluvia Boutique Winery is listed on Novia for up to 140 guests, with pricing on request. Ask for a quote for your date and a layout showing your tables, dance floor and service areas. The published capacity helps you decide whether to investigate; the layout helps you decide whether your wedding will feel comfortable there.

If a quote comes back too high, ask what changes at a smaller guest count you would actually consider. Fewer meals and drinks can reduce the bill, while hire and other fixed charges may stay the same. Check whether a package has a minimum guest charge before making difficult cuts. You want to know what those cuts would save.

Send two venues the same wedding

When you have two serious contenders, give both the same brief. For example: 100 guests in March 2027, an on-site ceremony, dinner, dancing until midnight and an indoor weather alternative. Ask each to price your preferred Saturday and a suitable weekday, with all compulsory charges included.

Alongside the total, get clear answers on setup access, finishing time, accommodation requirements and what remains outside the quote. Put booking payments and refundable deposits into your payment schedule. Money you expect back still needs to be available before the wedding.

If neither venue fits comfortably, widen the search before increasing what you can spend. The Cape Winelands venue guide can help you explore Paarl, Franschhoek and Wellington. Take the same date options and guest brief with you.

You may decide that Saturday matters enough to spend more, or discover that a weekday gives you room for the dinner and guest list you wanted. Make that choice with the complete celebration priced. Plan your wedding with Novia to begin shaping the setting and priorities behind your venue shortlist.
