You have counted about 100 people you want there, saved a few venues and started wondering what number to put in the budget. For a South African wedding in 2026 with about 100 guests, our planning estimate starts at about R200,000 for the core: venue hire, food, photography, flowers, music and cake. The table below puts those six costs at R202,200 to R373,200, using published Winelands hire as the starting point. From there, the sky really is the limit: a wedding can run deep into the millions. Drinks, attire, rings and the honeymoon sit outside that range, along with the other extras below. Start shaping your own day with real prices for your guest list and date.
What the budget covers for 100 guests
The two columns show a more restrained version and a more generous version of the same six-part budget. They are planning scenarios, not a national average or a complete wedding package. Venue prices are as published on 14 August 2026.
| Cost | More restrained | More generous | Basis |
|---|---|---|---|
| Venue hire | R58,000 | R74,000 | Belair Pavilion: winter or midweek versus standard 2026 hire, including VAT |
| Catering for 100 guests | R70,000 | R125,000 | Our planning estimate of R700 to R1,250 per person |
| Photography | R30,000 | R50,000 | Our planning estimate for an experienced photographer |
| Flowers | R20,000 | R100,000 | Our planning estimates: a starting budget for a full floral brief with professional setup versus the upper end of a generous look |
| Music | R18,000 | R18,000 | Bakenhof's published estimate for a DJ, equipment and dance-floor lighting |
| Cake | R6,200 | R6,200 | Bakenhof's published estimate for a decorated three-tier cake |
| Our planning estimate for these six costs | R202,200 | R373,200 | The sum of the rows above |
The hire figures come from Belair's published schedule; music and cake come from Bakenhof's 2026 package. We have used the latter as allowances, not offers those suppliers have made for a wedding at Belair. Bakenhof's supplier estimates do not establish VAT treatment, so the total is not a guaranteed tax-inclusive quote.
Drinks, attire, rings and the honeymoon are not included. Neither are accommodation, transport, a marriage officer, hair and make-up, stationery, video or a separate planner. Add service staff, rentals, delivery and any venue charges wherever your chosen quotes leave them outside the six rows. Those additions are why this is a starting budget rather than a promise of the final bill.
The lower column describes a different brief
The restrained version assumes a winter or midweek venue booking and a full floral brief at our starting budget. The higher column allows for more generous arrangements and a wider choice of dates. Make that distinction before sending the same inspiration pictures to several vendors.
R20,000 is our starting planning estimate for a full floral brief across ceremony and reception, including professional setup. Our flowers guide explains the brief. Choose where flowers matter most: perhaps the ceremony and dinner tables, with simpler touches elsewhere. A garden setting may already give you the backdrop you love. A large reception room may need more work to create the same feeling.
For photography, we use R30,000 to R50,000 for an experienced photographer. Choose the hours around the memories you want covered. If the evening matters as much as the ceremony, a shorter booking that finishes before the dancing is not the same purchase, however attractive its price.
A package can change the calculation
The Lakeside in Pretoria East publishes a 100-guest weekday package at R150,000 including VAT for 2026/2027. It includes venue hire, a three-course plated meal, service staff, a cake, selected décor, toasting champagne and a honeymoon night. The offer applies Monday to Thursday, excluding December, public holidays and the day before public holidays.
That is a different route through the budget. Start with the package, then add what is missing. Photography and a DJ are not listed, and decorative vases do not establish that fresh flowers are included. Equally, adding the cake allowance from our table would count something twice. Let the package replace the parts it actually supplies.
It also shows why the Winelands example is not a minimum cost for every South African wedding. A different location, package and brief can produce a different total. The useful comparison is between two celebrations you would both be happy to host.
Change the decisions that move the bill
If the first total is uncomfortable, revisit the date and guest count before trimming every detail. At Belair, the venue line changes with the date. The food line changes with the number of people you feed. Your photographer and DJ may still be covering the same hours even when there are fewer tables.
Ask for one alternative that preserves the part you care about. Keep the venue but change the day; keep the guest list but simplify the meal; keep a generous dinner and reduce the floral brief. You will make a clearer decision when you can see what each change buys or gives up.
Then give the unpriced parts of the day real space in the budget. A drinks allowance, a journey home and the clothes you want to wear still need funding. Set the overall amount you are comfortable spending before committing the largest share to a venue, so the remaining choices feel like choices.
